Zimbabwe school operations / Buyer guide
How to choose a school management system in Zimbabwe
Do not buy the most impressive dashboard. Buy the system your Head, bursar, teachers and parents can depend on during an ordinary school day. Use these eight questions when comparing Zimbabwean school ERP platforms.

Take your own school data to the demonstration.
Prepare an anonymised learner list, a sample school-fee invoice, a payment receipt, a class register and a term report layout. Ask every provider to walk through the same scenarios. This makes the comparison fairer and exposes gaps hidden by polished demos.
Eight questions every school should ask
1. Does it support the way your school collects money?
Ask the vendor to demonstrate a learner invoice, a partial payment, a reversal, an overdue balance and a reconciliation report. Check USD and ZWG separately. Confirm which payment channels are integrated versus merely recorded manually.
Demo test: Can the bursar trace a payment from receipt to ledger and board report?
2. What happens when the internet disappears?
Switch the connection off during a live attendance demonstration. Capture records, close and reopen the app, reconnect, and check whether the records synchronise. Ask how duplicate updates and conflicts are handled.
Demo test: Can the school prove that an offline record survives and syncs correctly?
3. Can it handle your academic structure?
Use actual subjects, streams, examination periods and grading requirements from your school. Confirm ZIMSEC or Cambridge support at the workflow level rather than relying on a logo or generic compatibility claim.
Demo test: Can staff move from subject setup to marks entry and a sample term report?
4. Are parents and guardians genuinely connected?
Ask how guardian identities are linked to learners, which attendance and fee details they can see, and which alerts require a working internet connection. Check access for guardians with more than one child.
Demo test: Can a guardian access only the records they are authorised to see?
5. Who can change a fee, result or learner record?
Review permissions for a Head, bursar, teacher, registrar and auditor. Ask for a demonstration of approval controls and logs showing who changed a sensitive record and when.
Demo test: Can an unauthorised user change a record, and can an authorised change be traced?
6. How will existing school data be migrated?
Ask the provider to explain imports from spreadsheets or an existing system, duplicate detection, missing learner identifiers, verification of opening balances and the rollback plan before go-live.
Demo test: Can the school sign off an accurate sample import before a full migration?
7. What exactly is included in the price?
Compare setup, licensing, training, mobile access, messaging charges, support, backups, additional campuses and future data exports. A cheap headline price does not represent total ownership cost.
Demo test: Can the provider give a written first-year and second-year cost breakdown?
8. What happens after launch?
Ask who trains new staff, handles term-opening peaks, resolves incidents and supports data export or termination. Request clear service expectations and escalation contacts.
Demo test: Can the vendor show a practical implementation and support plan?
A simple decision framework
Score each vendor from 0 (cannot demonstrate) to 3 (verified with your sample data) against each of the eight questions. Record deal-breakers separately: for example, missing data exports, incorrect fee calculations or unreliable offline synchronisation.
Before signing, request a written implementation scope, data processing terms, backups and recovery approach, support terms, and a complete pricing breakdown. A score alone is not enough.
Where Makronexus fits
Makronexus Education is a Zimbabwe-focused school management platform connecting admissions, learner records, billing and reconciliation, attendance, academics, communication and governed reporting. It supports USD and ZWG school-fee workflows, ZIMSEC and Cambridge academic structures, and offline-capable attendance.
We encourage schools to test those workflows rather than accept feature claims. Available modules, integrations and implementation scope should be confirmed during a tailored demonstration.
